Refund & Cancellation Policy
What happens if a project is cancelled, and when a refund applies.

We build custom software. That work is done by people, to your brief, and it cannot be returned or resold once it has been produced. This policy explains clearly what happens if a project is cancelled and when a refund is possible, so there are no surprises on either side.
1. What you are paying for
Our services are bespoke professional services, not a stock product. Fees cover time, expertise and the work delivered against agreed milestones. Payments are usually structured as an advance followed by milestone payments set out in your Project Agreement.
2. Cancelling before work begins
If you cancel in writing before we have started work, the advance is refunded in full, less any third-party costs already committed on your behalf, such as domains, licences or paid tools.
3. Cancelling after work has begun
If you cancel once work is under way, we will:
- stop work immediately on receiving your written notice;
- calculate the work completed up to that point, including any partially completed milestone;
- invoice or refund the difference between what you have paid and the value of work completed;
- hand over the completed work for which payment has been received.
Where a milestone is fully delivered and approved, that milestone is not refundable.
4. Cancellation by us
We may end an engagement if the brief changes so fundamentally that the original agreement no longer applies, if we are unable to obtain the access or information needed to proceed after repeated requests, or if the working relationship becomes untenable. In those cases we refund any amount you have paid for work not yet delivered.
5. What is not refundable
- Milestones already delivered and approved.
- Third-party costs already paid on your behalf: domains, hosting, licences, plugins, app store fees, advertising spend.
- Time spent on discovery, research, strategy or design that has been delivered to you, even if you choose not to proceed to build.
- Ongoing retainer or support fees for a period already served.
- Fees where the outcome depended on a third party, such as app store approval or search rankings, and we performed the agreed work.
6. Marketing and advertising engagements
For digital marketing work, fees cover the service delivered during the period, not a guaranteed result. Advertising spend paid to platforms such as Google or Meta is not refundable by us once spent. Retainers can be cancelled with thirty days' written notice, effective at the end of the current period.
7. Requesting a refund
Email info@nexgino.com with "Refund request" in the subject line, your project name, and the reason. We will acknowledge within three working days and give you a written assessment within ten working days. Approved refunds are processed within fifteen working days to the original payment method. Bank or gateway charges, where applicable, are deducted.
8. If you are unhappy with the work
Please tell us before asking for a refund. Most concerns are a scope or expectation mismatch that we can fix. Defects caused by our work are corrected free of charge under clause 8 of our Terms & Conditions. We would much rather put something right than end a project badly.
